Privacy Policy

HIL Group (“we”, “us”, “our”) operates HIL Exchange, a digital marketplace for construction materials, equipment, and services in Trinidad & Tobago. This Privacy Policy explains what personal information we collect, how we use it, and your rights in relation to it. By using the platform you agree to the practices described here.

1. Information We Collect

Information you provide directly:

  • Account registration details — name, email address, and password
  • Supplier profile information — business name, business type, address, phone number, WhatsApp number, and website
  • Listing content — titles, descriptions, photos, prices, and location
  • RFQ submissions — project details, quantities, delivery location, and contact information
  • Verification documents — business registration certificate, proof of address, and government-issued ID submitted as part of the Verified Supplier programme
  • Plan interest forms — name, business name, and phone number submitted when enquiring about paid plans
  • Messages and communications sent through the platform

Information collected automatically:

  • Log data — IP address, browser type, pages visited, and timestamps
  • Usage data — listing views, search queries, and feature interactions
  • Device information — operating system, screen resolution, and referring URL
  • Cookies and similar tracking technologies (see Section 7)

2. How We Use Your Information

We use the information we collect to:

  • Create and manage your account and supplier profile
  • Display your listings and profile to buyers on the platform
  • Facilitate RFQ submissions and supplier responses
  • Process and review supplier verification applications
  • Send transactional notifications — quote received, RFQ accepted, verification updates
  • Send platform updates, new feature announcements, and occasional promotional messages (you may opt out at any time)
  • Detect and prevent fraud, spam, and misuse of the platform
  • Improve platform performance, fix bugs, and develop new features
  • Comply with legal obligations under the laws of Trinidad & Tobago

3. How We Share Your Information

We do not sell your personal information. We may share it in the following limited circumstances:

With other platform users: Supplier profile information — business name, location, phone, WhatsApp, and website — is visible to logged-in buyers who view your profile. Buyer contact details included in RFQ submissions are shared with suppliers who respond to that RFQ.

With service providers: We use trusted third-party services to operate the platform, including Supabase (database and authentication) and Vercel (hosting). These providers process data on our behalf and are contractually bound to protect it.

For legal compliance: We may disclose information if required by law, court order, or government authority in Trinidad & Tobago, or if we believe disclosure is necessary to protect the rights and safety of HIL Group, our users, or the public.

Business transfers: If HIL Group is acquired, merged, or its assets are transferred, personal information may form part of that transaction. We will notify affected users before their data is transferred and becomes subject to a different privacy policy.

4. Verification Documents

Documents submitted as part of the Verified Supplier programme — including business registration certificates, proof of address, and government ID — are stored securely and accessible only to HIL Exchange administrators involved in the review process. These documents are used solely to confirm the legitimacy of your business and are not shared with buyers or third parties. You may request deletion of verification documents at any time by contacting us, subject to any legal retention obligations.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide our services. If you close your account, we will delete or anonymise your personal data within 90 days, except where we are required to retain it by law (for example, for tax or audit purposes) or where legitimate business interests require a longer retention period. Listing and RFQ data may be retained in anonymised form for analytics after account deletion.

6. Data Security

We implement industry-standard security measures to protect your information, including encrypted storage, secure HTTPS connections, row-level security on our database, and access controls that limit who within our team can view sensitive data. However, no system is completely secure. You are responsible for keeping your password confidential and for notifying us promptly if you suspect your account has been compromised.

7. Cookies

HIL Exchange uses cookies and similar technologies to keep you logged in, remember your preferences, and understand how the platform is used. We do not currently use third-party advertising cookies. You can control cookie settings through your browser, but disabling certain cookies may affect platform functionality such as keeping you signed in.

8. Your Rights

Under applicable data protection principles you have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete information
  • Request deletion of your personal data (subject to legal retention requirements)
  • Object to or restrict certain processing of your data
  • Withdraw consent to marketing communications at any time
  • Request a copy of your data in a portable format

9. Children's Privacy

HIL Exchange is not directed at children under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has created an account, please contact us and we will promptly delete the account and associated data.

10. Third-Party Links

The platform may contain links to external websites — including supplier websites and WhatsApp. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies before providing any personal information.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. For significant changes we will notify registered users by email. Continued use of the platform after changes are posted constitutes your acceptance of the revised policy.

12. Governing Law

This Privacy Policy is governed by the laws of the Republic of Trinidad & Tobago. Any disputes relating to privacy shall be subject to the exclusive jurisdiction of the courts of Trinidad & Tobago.
